Terms & Conditions of Care
The relationship between a patient and their healthcare provider is built on trust, transparency, and mutual respect. At House of Smiles, this commitment extends not only to the clinical care we provide but also to the financial aspects of treatment.
High-quality dental and aesthetic care requires significant clinical expertise, advanced materials, and a carefully maintained clinical environment. We strive to keep our fees fair and proportionate while maintaining the exceptional standards our patients expect. Where appropriate, payment plans may be available for more extensive treatment programmes.
Our goal is that every patient is delighted with their experience and the long-term value of the care provided at House of Smiles. We are committed to treating you with professionalism, goodwill, and in accordance with the highest standards of our profession.
These Terms and Conditions clarify the expectations of both parties and support the safe, efficient, and professional running of our practice.
IMPORTANT: Please read these Terms and Conditions carefully, as they apply to your course of treatment.
General Policies
Medical History Requirements
All patients must complete and keep updated a confidential Medical History Questionnaire prior to their initial consultation and before subsequent appointments. This ensures your clinician can safely and effectively plan your care.
We reserve the right to postpone appointments if required documentation is not received in sufficient time.
New Patient Consultations
All new dental patients at House of Smiles will undergo a comprehensive clinical assessment, which may include radiographs, clinical photographs, and other diagnostic records where clinically indicated.
Patients attending for facial aesthetics will also receive a full consultation and appropriate photographic records where required.
Emergency Appointments
Emergency patients will be prioritised for urgent care. Where appropriate, patients may be advised to return for a full comprehensive assessment following emergency treatment.
Emergency appointments are chargeable at the standard hourly rate and payable in advance.
Consent
Patients are encouraged to ask questions about any aspect of their proposed treatment. It is the patient’s responsibility to ensure they fully understand the treatment plan before proceeding.
House of Smiles reserves the right to decline or postpone treatment at the clinician’s professional discretion.
Financial Policy
Estimates
All treatment estimates are individually prepared and typically remain valid for three calendar months unless otherwise stated. Fees are usually payable in advance according to the staged treatment plan.
Consultations, hygiene visits, and emergency appointments are payable at the time of booking.
Refunds for Discontinued Treatment
If treatment paid in advance cannot be completed and is formally discontinued in writing, any remaining credit will normally be refunded within three calendar months, allowing time for any necessary remedial care.
Cancellation Policy
Appointment Bookings
Appointments are confirmed with patient agreement via telephone, email, or in person. While reminders are typically sent, failure to receive a reminder does not cancel the appointment.
Late Cancellation Fees
Appointments cancelled without sufficient notice may be subject to a cancellation charge at the practice’s discretion, up to the current hourly rate:
• Dental Surgeon: £90 per hour
• Facial Aesthetics: £90 per hour
• Hygienist / Therapist: £90 per hour
Cancellation Notice Periods
To avoid charges, the following minimum notice is required:
• Appointments up to 2 hours: 2 full working days
• Appointments 2–3.5 hours: 3 full working days
• Appointments over 3.5 hours or block bookings: 5 full working days
Late Attendance
If significant appointment time is lost due to late arrival, we reserve the right to reschedule and apply a charge for lost clinical time.
Repeated Non-Attendance
Where there is a pattern of missed or late-cancelled appointments, we may require full advance payment for future bookings and reserve the right to withdraw services where appropriate.
Estimates & Guarantees
Nature of Estimates
Due to the complexity of some treatments, estimates may be staged and may change if clinical circumstances evolve. Patients will always be informed in writing of significant changes.
Clinical Guarantees
House of Smiles and our partner laboratories provide a voluntary guarantee against technical failure of certain definitive restorations for a period of one year from the End of Treatment Review Appointment.
Guarantees do not apply where failure results from trauma, inadequate home care, failure to attend recommended maintenance, natural biological changes, or misuse of appliances.
Biological Factors
Some biological outcomes are beyond clinical control and depend on individual healing responses and medical factors. Where appropriate and clinically indicated, House of Smiles may provide partial goodwill support in defined circumstances.
Maintenance
Following treatment, patients may be provided with a personalised maintenance programme designed to protect and prolong treatment outcomes. Attendance at recommended review and hygiene appointments is essential to maintain eligibility for any guarantees.
Clinical Records
All original clinical records, photographs, radiographs, and digital data remain the property of House of Smiles. Records may be used anonymously for professional, educational, or promotional purposes in accordance with GDPR unless you notify us otherwise in writing.
Patients may request copies of their records in writing.
Payments
Responsibility for Fees
Patients remain responsible for timely payment of all fees, even where third-party finance is involved.
Late Payment
Outstanding balances may result in postponement of further treatment. Accounts remaining unpaid after three months may be referred to a debt recovery process, and additional administrative or recovery costs may be applied where permitted.
Accepted Payments
House of Smiles does not accept American Express or personal cheques. Banker’s drafts are accepted subject to clearance prior to treatment.
Appointment Changes by House of Smiles
In rare circumstances where we must reschedule due to illness, equipment issues, or unforeseen clinical delays, we will make every reasonable effort to minimise inconvenience. House of Smiles cannot accept liability for indirect losses arising from such changes.
